Inventory Coordinator
Overview:
Healthy Birth Day, a 501(c)(3) nonprofit organization dedicated to the prevention of stillbirth, is seeking a full-time Inventory Coordinator to join our team.
The Inventory Coordinator will oversee the fulfillment and distribution of key Count the Kicks tools such as printed educational materials, kick counting wrist bands, magnets, and other physical collateral. This role oversees the Count the Kicks customer order process, aligning website and vendor orders with fulfillment and inventory. The skills required for this role are strong attention to detail, proficiency with digital tools, strong time management, customer service, and ability to perform within tight deadlines.
An ideal candidate for this role is a self-starter who has juggled multiple priorities in a fast-paced environment, maintained professionalism, and can recommend process improvements and adapt to changes introduced by others.
Key Responsibilities:
Order and Fulfillment Management
- Serve as the primary point of contact with our fulfillment partner (Strategic Imaging) for all order-related communication.
- Process orders received through the website and internal systems, and send them to the fulfillment partner for shipment.
- Track order status, resolve fulfillment or shipping issues, and provide timely updates to customers and internal staff.
- Ensure new products and SKUs are correctly listed on the website — including accurate descriptions, pricing, and images.
Inventory Control and Reporting
- Monitor and maintain accurate inventory levels across storage locations.
- Perform monthly and quarterly inventory reconciliations, and document results.
- Prepare and maintain internal inventory reports using Excel (advanced formulas, pivot tables, lookups) or other reporting tools.
- Identify low stock, overstock, or slow-moving items and proactively recommend reorders or adjustments.
- Audit and improve inventory workflows and Standard Operating Procedures (SOPs).
Data and Cross-Functional Coordination
- Collaborate with the Business Analyst to ensure order and inventory data in Salesforce are accurate and up to date.
- Communicate regularly with internal teams and individuals to confirm vendor invoices, shipment schedules, and reporting needs.
- Contribute to process improvement discussions and support cross-department efficiency initiatives.
Customer and Vendor Communication
- Maintain positive relationships with vendors and partners, ensuring high standards of professionalism and reliability.
- Provide courteous and timely responses to customer inquiries about orders and delivery.
Education and Experience:
- Associate’s degree or equivalent in business operations, inventory management, supply chain or related field preferred.
- 2-4 years’ experience in inventory coordination, fulfillment, or logistics.
- Proficient in digital literacy: Word, Excel, PowerPoint, Zoom and Google Drive at a minimum; Preferred basic skills in Salesforce and WooCommerce.
- Strong organizational and time management skills with attention to detail.
- Effective verbal and written communication with clients, vendors, and internal teams.
- Ability to prioritize tasks and meet deadlines with limited supervision.
- Client-focused mindset with a drive for service excellence.
- Positive attitude and a commitment to diversity and inclusion.
- Comfortable in a fast-paced, mission-driven nonprofit environment.
Travel: Not expected outside of the Des Moines metro area, aside from an annual trip to fulfillment partner location in Waterloo.
Hours: Full-time, 40 hours per week
